HubSpot Duplicate Contact Finder (CSV, In-Browser)
HubSpot Duplicate Root-Cause Audit
Duplicates keep coming back? We find which forms, imports or integrations create them and give you matching rules and an SOP.
HubSpot deduplicates on email address, so contacts with a different email, no email, or the same phone number in a different format can slip through. Export your contacts (Contacts > Export, CSV) and load the file below to see possible duplicate groups. Your file is processed in your browser and never uploaded.
HubSpot duplicate contact finder
Upload a HubSpot contacts export. The finder groups possible duplicates by the same email (ignoring case and dots in Gmail addresses), the same phone number (last 10 digits), and the same first name, last name and company. Review the groups before merging anything.
Your file is read in your browser with JavaScript. Nothing is uploaded or sent anywhere, and nothing is stored after you close the page.
How matching works
- Email: compared in lower case. For Gmail addresses, dots and anything after a plus sign are ignored, since Gmail delivers those to the same inbox.
- Phone: digits only, last 10 digits compared, so +1 (512) 555-0123 and 512-555-0123 match.
- Name and company: same first name, last name and company name.
Columns are found by HubSpot's default export headers (Email, Phone Number, First Name, Last Name, Company Name, Record ID).
Before you merge
- Review each group: a shared phone can belong to a front desk, not one person.
- Merges in HubSpot cannot be undone, so keep the export as a backup.
- Look at the Original Source and Create Date of each duplicate to see what keeps creating them.
FAQ
Does this merge anything in HubSpot?
No. It only reads the CSV you load and shows groups. You decide what to merge in HubSpot.
How large a file can it handle?
It depends on your browser and computer; tens of thousands of rows usually work fine.
