Duplicate Company Finder
CRM Import-Ready Contact Cleanup
Want the whole file cleaned? We fix emails, phones, names and duplicates and return an import-ready CSV. $9 per 500 rows.
Duplicate company records split your contacts, deals and history across two or three accounts, so nobody sees the full picture. Many come from imports and integrations that spelled the name or website a little differently. Load a companies export below to group the likely duplicates. Your file is processed in your browser and is never uploaded.
Duplicate company finder
Upload a companies or accounts export. The finder groups likely duplicates by the same website domain (after removing www, paths and protocol) and by the same company name once legal suffixes, case and punctuation are ignored. Review the groups before merging anything.
Your file is read in your browser with JavaScript. Nothing is uploaded or sent anywhere, and nothing is stored after you close the page.
How companies are matched
- Same domain: website values are cleaned first, so https://www.acme.com/about and ACME.com match. Free email domains such as gmail.com are ignored, because they do not identify a company.
- Same name: names are compared after removing legal suffixes (Inc, LLC, Ltd, Corp and others), a leading "The", case and punctuation, and treating "&" and "and" the same.
- Chains: if row A shares a domain with row B, and row B shares a name with row C, all three land in one group.
The tool looks for columns named Company name, Name, Company or Account name, and Company domain name, Domain or Website.
Why duplicates appear: the HubSpot example
HubSpot automatically deduplicates companies by the Company domain name property. On import it uses the primary and secondary domain values to match existing companies, unless you pick a custom unique property instead. If an import includes no domain or other unique identifier, each row is imported as a new company. HubSpot also says companies created through the API, including installed third-party sync apps, are not deduplicated by domain (source: https://knowledge.hubspot.com/records/deduplication-of-records).
So likely causes are company imports without a domain column, integrations creating companies, and records where the domain is missing or written differently. This finder also catches the name-only duplicates that domain matching misses.
Other CRMs differ. Pipedrive, for example, imports companies as organizations, and an organization needs a name (source: https://support.pipedrive.com/en/article/importing-data-into-pipedrive-with-spreadsheets). Check your own CRM's matching rules before you merge.
Reviewing the groups
- Download the duplicate groups CSV; every row is labelled with its group (G1, G2 and so on) and its row number in your file.
- In each group, pick the record to keep, usually the one with the most contacts, deals or activity.
- Check groups matched only by name more carefully. Two different businesses can share a name in different cities.
- Merge in your CRM, and fix the source that created the extra records so they do not come back.
